TERMS AND CONDITIONS
It is essential to read and understand the conditions of booking below. Please also ensure you have read and clearly understood the itineraries of the tour/services you are booking.
BOOKING POLICY
1/ How to book with us?
We make your online booking extremely easy, comfortable and without any apprehension over your security, privacy and concern about online reservations. Just complete the the booking form and send it back to us via email address or by fax. Upon confirmation of a reservation, a deposit is requested. You can choose one from our payment methods (Credit card, Bank transfer). Right after receiving deposit, we will process all services and issue the service voucher as the final confirmation within 5 working days. The service voucher will be sent by email/fax or snail mail to passenger. The rest of the payment for the total or business service package should be paid at least 30 days prior your arrival date, unless otherwise stated or agreed.
2/ Deposits
* On booking a trip you are required to pay a non-refundable deposit of 10% per person - minimum of USD100 per person. (Note: bank fee or credit card fee is on your side). 2/ Deposits
* Full payment of the tour balance must be paid at least 1 month (30 days) before the starting date of the tour. In the event of the full payment not reaching our account by the due date, we reserve the right to cancel all reservations and the contract between us.
3/ Cancellation & Refund
Rights to refunds if you change or cancel your reservation are sometimes limited as we usually need to prepay some suppliers, and our negotiated rates are obtained through committing to advance payment. We strongly recommend you purchase trip insurance including trip cancellation and interruption insurance, which may reimburse you for cancellation penalties and extra trip expenses should a circumstance covered by the policy force you to cancel or interrupt your trip. We reserve the right to cancel the booking without prior notice if the deposit or balance is not paid by the deadlines as specified. In this case, we will apply any relevant cancellation charges as if you had canceled, before making any refund. Unless indicated otherwise in advance, a reservation is confirmed when all of the paid elements are confirmed.
Any cancellation by a client must be made in writing either by email or fax. The date on which the cancellation notice is received by the company or its agents will determine the applicable cancellation fee. Refund checks will normally be mailed within three weeks of cancellation, assuming we experience no difficulty or delay in receiving the corresponding refund(s) from the suppliers involved. Once travel has commenced, no refunds or exchanges can be made in respect of accommodation, meals, sightseeing tours, transport or any other services which are included in the tour prices but not utilized by the tour member. Unless indicated otherwise at or prior to the time of reservation, cancellations will be charged as follows:
- More than 30 days prior to trip departure. No charge, however the deposit is non-refundable
- 29 - 14 days before arrival: 20% charge
- 13 - 7 days before arrival: 40% charge
- 6- 4 days before arrival: 60% charge
- Within 3 days before arrival: 100% charge
4/ Amendment
All modifications and extensions must be made at the time of booking. Any subsequent changes are subject to an additional fee, plus any other applicable cancellation fees as imposed by Indochina Orbit, and such fees are due immediately when the amendment request is made. No amendment will be accepted within 7 days prior to departure, and no change may be made after travel has commenced.
5/ Travel Insurance
Travel insurance is not included in our tour price. It is the client's responsibility to verify whether his/her local health insurance carrier provides coverage while traveling. Indochina Orbitstrongly recommend that you purchase a comprehensive travel insurance policy in your country to cover all cancellation charges, luggage claim, medical expenses, accident and others.
6/ Our prices
Our prices are based on the US Dollars. We have no hidden cost as we always state clearly what include and exclude on the itinerary for each tour or service. The prices on the website are valid as indicated, but may be varied at any time by suppliers. Prices are subject to change without notice. Please check with us for confirmation of prices prior booking. Indochina Orbitreserves the right to revise the itinerary or substitute comparable accommodations and other tour inclusions. This is necessary because sometimes things change - restaurants close, quality of hotels change. We make every effort to provide the best, and will always monitor tours and locations to make sure you get the best for your value. From our price list on individual services you can see which hotel(s) we use for the particular itinerary in every region of the country. If you need detailed description of hotels, please do not hesitate in contacting us.
7/ Passports and Visas
The applicant must carry a valid passport and have obtained the appropriate visas when travelling with Vietnam Spirit Travel. Applicants must ensure their passport is valid for 6 months beyond the duration of the trip. It is the applicant’s responsibility to ensure that they are in possession of the correct visas for the trip. Vietnam Spirit Travel cannot accept responsibility if the applicant is refused entry to Vietnam due to incorrect visa documentation
8/ Liabilities
Our liabilities:
* Indochina Orbit assumes no responsibility for any injury, loss or damage, accidents or delay to a person or property caused by the acts of God, detention, annoyance, machinery breakdown, quarantine, bad weather, or causes beyond its control.
* Indochina Orbit does not assume any liability for any injury, damage, death, loss, accident or delay caused by strikes, thefts, pilferage, irregularity, civil disturbances, hostilities, acts of war, government restrictions or other force majors.
* Indochina Orbit will not be held responsible for any damage or delay due to Indochina Orbit accepts no responsibility for any omission, delay, re-touring, additional expenses, or other events resulting from improper health certificates, or necessary documents to enter or depart a country, or acts of any government authority.
* Some of our trip packages that requires any flight, hotel accommodation, transportation service or tours, Indochina Orbit will not assume responsibility for cancellations, delays, over bookings, or any loss of services from any of the parties involved in the operation.
* Indochina Orbit also reserves the right to withdraw a trip or any part of it, to make such alterations in the trip package or itinerary as it deems necessary for the comfort or well-being of the participants and to pass on to the client any expenditure or losses caused by delays or events beyond our control.
* Indochina Orbit shall not held responsible for any promised service that was not made in written form

Your liabilitties:
*Customers assume their responsibility of making all of their connections and check in times on time.
* Indochina Orbit assumes no responsibility for a customer arriving late or being a "no show" due to any problem of personal nature or with the services provided by any of our vendors.
* It is the responsibility of each tour participant to obtain, comply and carry a valid passport, visa(s), health equipment and any other documents required by applicable government regulations. We can not be held liable for any illness, delays or costs resulting from your failure to meet these requirements. Please make sure that your documents are proper and valid before going.
